Inside Our Hat Factory: A US Client Visit from the Workshop Floor to the Embroidery Line
Recently we welcomed a client from the United States at our headwear factory in Baoding, Hebei. The purpose of the trip was straightforward: to see how their custom hats are made, to meet the people working on the line, and to align on the details of the next production run.
Over the day the team walked the workshop, spent time at the embroidery line, reviewed samples, and finished with a group photo in front of the building. This post walks through what a factory visit looks like from our side of the table, and what brand teams can usefully look at when they make the trip.

Why a Brand Visits Its Hat Manufacturer
Custom headwear is a physical product. Photos and spec sheets only go so far, and many order questions come down to material, structure and finishing. A factory visit answers those questions in a couple of hours:
- You see the actual equipment and how much of it is running, rather than a list of machine counts on a slide.
- You can settle process details in person — embroidery placement, thread colours, panel shapes, label position, packing method — instead of trading emails.
- You meet the people who will handle your program: pattern making, embroidery programming, sampling and quality control.
- You get a realistic read on lead times from the work currently on the floor.
For teams that cannot travel, we run the same walk-through on a live video call, with the same access to the workshop, the embroidery line and the sample room.
Arriving at the Factory
The client arrived in the morning and we started outside the workshop, where the group photo on this page was taken. It is a useful moment before the tour: you can see the building, the loading area and the scale of the site before stepping into the production space.
A Walk Through the Workshop
The tour followed the same path an order takes through the factory:
- Fabric inspection and cutting
- Embroidery, where panels and front panels are decorated before assembly
- Stitching, including multi-needle and double-needle seams
- Pressing and shape setting
- Inspection and packing
Because the workshop runs on live orders, the client could see work in progress at each stage rather than a prepared display. Questions came up naturally along the way — how a panel is aligned before embroidery, how a curved brim keeps its shape, how a repeat order is matched to a reference sample.
We also introduced the team by station, so the client knows who to contact about which step after the visit.
The Embroidery Line in Detail
The embroidery room is the part of the factory brand teams ask to see first, and it is where this visit spent much of its time. Our multi-head machines run in a long row, with twin rows of thread spools above and individual tension control on each head, so one design can be stitched across many pieces in a single setup.
In practice, the client focused on three things:
- Placement accuracy — how consistently a logo lands on the same position across pieces.
- Colour consistency — how thread shades are matched to a brand reference.
- Changeover efficiency — how quickly a line can switch from one design to another between runs.
We demonstrated a first-piece approval step, where the first stitched piece is checked against the approved artwork and colour reference before the run continues. For low-volume programs, this is also the step that keeps a short run economically sensible: one setup covers many pieces, so the cost per hat stays workable at the volumes newer brands order.
Quality Checks We Review Together
The visit ended in the sample room and the inspection area, where the points that decide a reorder were reviewed against physical pieces:
- Fabric weight, hand feel and colour against the approved reference
- Crown shape, panel balance and fit across sizes
- Embroidery density and the finish of the stitched edge
- Seam strength, brim shape and sweatband construction
- Pressing, folding and packing method
Our factory is amfori BSCI-audited and our materials are REACH-compliant, and the records behind those points are kept as part of day-to-day production, so they can be checked on the spot rather than assembled afterwards.
What to Look at on a Factory Visit

Photo, Handshake and Next Steps
The day closed with a group photo outside the workshop — a brief tradition for visiting partners, and a record of a working relationship rather than a one-off meeting. We then sat down to confirm the next steps: which styles move to sampling, which details still need a decision, and the timelines on both sides.
Visits like this are one of the parts of the job we enjoy. They shorten the distance between a brand and the line that makes its product, and they tend to remove much of the uncertainty from a production run.
